Creating Groups

Creating a group allows you to choose who can use your sim. After you create a group, you can selectively assign users either individually or in bulk. To learn how to assign a user one at a time, see the 'Search and Add Users' section. To add multiple users at a time, see the 'Importing Users' section.
  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen.

  2. The User Access screen contains a group of buttons (see image below). In the opened window, click on the groups link.

  3. The Groups page will open with the Browse Groups search text box and a table with the default group in it and list of labels in its header. Click an Add Group link:

  4. A pop-up window will appear with the text fields to fill in. You must specify a Simulate Group Name in this pop-up window, other fields are not necessary to be filled:

  5. A description of how to fill in the other fields is below:

    5. 1 Put in the name of the Institution to the first field and the Event/Class Name into the second text field. It will generate the new Simulate Group Name.

    5. 2 To enter a group name, edit the text in the Simulate Group Name text box.
    5. 3 Group Expiration Date is also editable. Please enter a date with the format shown above. This date is when the simulation can no longer be played by this group.
    5. 4 Student run limit is the limit on the number of times a student can run the simulation. It can be any number. If you leave this field empty or enter zero, students can run the simulation an unlimited number of times.
    5.5 Max Users is the quantity of users who can play the simulation.
    When you fill in all the text fields in the window it should look like this:

  6. Many simulations need a facilitator. A facilitator is a user who has privileges to view student results, open and close the simulation, and change simulation settings. It is possible to set this information in this window.

    6.1 Click the Add Facilitator button. This will make the Email/Username field appear. There are several options for using this field. You can put the email address or username of a known user you want to set up as a facilitator for this simulation. Then after filling in the text field with this information and clicking the button with the search sign the Facilitator's Name will appear in the top field and user name in the field below. Clicking the Add Facilitator and Save Group button will save all the information and close the window.

    6.2 Make sure you enter the email address of the facilitator and click the search button to find the user. If the user is not found, additional text fields will appear. First, Last Name and Password must be filled in.

    6.3 Click the Add Facilitator and Save Group button.
    The name of the group and facilitator name will appear in appropriate field along with the other information about the group:

Deleting a group

  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen.

  2. Go to the groups link on the left top corner of the page

  3. Find a group you want to delete in the list of the groups showed on the page. Select the check box on the left side of the table near the group name and click the Delete Selected link on the top of the left column of the table.

  4. In the pop-up window click Ok to confirm the removal.
  5. On the next screen the deleted row will disappear from the list of groups and on the top of the page a “Delete successful” message will appear.

  6. There is another way to Delete the group from the list. After you got to the groups page click the delete icon on the right side of the table of the chosen group row:

  7. In the pop-up window click Ok to confirm the removal
  8. On the next screen the deleted row will disappear from the list of groups and on the top of the page a “Delete successful” message will appear.


Edit group


This section describes how to change some group details like Expiration Date, Run Limit and which users belong in the group.

  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen. image

  2. Go to the groups link in the left corner of the page:

  3. In the list of the groups find the group you want to change and click on the Edit Group icon in the right column with an Actions label on the top.

  4. Editable fields will appear in the next window:

    There is an option to make a group Single Sign On Only.
    Expiration date can be changed by changing the value in its text box using the format shown below.
    The run limit can be set by changing the value in its text box. Leaving this text box blank or giving it a value of zero will mean that the group has unlimited number of runs.
    Max Users will limit the number of users eligible for this group. Leaving this box blank or setting its value to zero will mean that the number of users is unlimited.

  5. Click the Save button after finishing with the changes. Your changes will appear on the next screen with the Success message on the top of the page.

Add Users to the Group


  1. This section describes how to add users to an existing group. For instructions on how to create a group, please refer to the Creating a Group section.

  2. Go to the groups link in the left corner of the page:

  3. In the list of groups find a group you want to add users to and click on the number of users in the group, which is in the Users column:

  4. On the opened screen you should see all of the users in the chosen group. To add a new user click the Add User link in the left corner of the page:

  5. An Email text box will appear under the link. Put the email address of the user you want to add to the group and click the Add User button:

  6. If this user's email already exists in the Forio database, user will be added to the list of users in the group and a confirmation message will appear.

  7. If this user's email is does not exist in the Forio database, then additional fields will appear

  8. Fill in the required fields. Since you are creating a new user account, you will be prompted to choose a password for the new user. The user will be emailed his or her password details. In order to prevent bad passwords, you must enter the password twice. Both passwords must match before you can submit the form.

  9. If successful, the new user will be added to the list of users below and a confirmation message will appear on the top of the screen.

Add Users



This section explains how to search for and add individual users. To add multiple users to a group at once, see the 'Importing Users' section.


  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen.

  2. On the opened User Access page click on the Add User link.

  3. This will open two text boxes, type in an email and and choose a group you want to add user to and click the Add User button.

  4. If the user already exists, he will be added to the user list, if the user is not in the system, then additional text fields will appear.

  5. Fill in the required fields and click Add User button. The user will be added to the list.
    Please note that you must enter a password for this new user. The user will be emailed his or her password.



    There is another way to add a user to the group:

  6. Click on the User Access tab as shown in step 1.

  7. In the opened User Access page click the groups link as shown in the image below. This will open the list of all the groups in the simulation.

  8. In the list of groups click on the number of users in the group you want to modify.

  9. Repeat the steps 2-5 to add users to this group.




Importing Users

This section explains how to add multiple users to a group in bulk.

  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen to access the 'User Screen' where you can add and remove users to sim groups.

  2. On the opened User Access page click on the Import Users link.

  3. Enter the name of the group you want to import users into and click the 'Continue to Import users button':

  4. On the opened page click the Excel Template link, which will open a template Excel file in separate window.

  5. Open the spreadsheet after it has been saved, and enter each user's email address and name in their respective column cells, and then save the changes. It' s recommended to leave the username blank, as usernames must be unique across all users in Forio Simulate. If username is left blank, Simulate will assign the user a username automatically based on their email address. Note that each user must have their information in their own row of cells; for example, do not enter more than one name, email address, or password in a single cell.

  6. Then cut and paste the columns into the screen "Upload User List". Copy only the user data. Don't include the header row. Paste it into the text field on the Import List of Users page.

    There is an option to send an email to the new users. This is highly recommended, so that the new user will get his or her username and password. Select the check box, if you want to use this functionality. Click the Import Users button.

  7. In the next screen, information about the new users is shown. There will be two tables. One will show newly created users. The other will show existing users. In our case one user is new and three other ones have usernames and passwords on Forio, so they will use their exisiting credentials to access this simulation.

  8. Click the Save User Information button and you will be redirected to the next screen, where all users, including new ones for this group will be shown:

Deleting Users

This is a description of how to remove users from the simulation.

  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen.

  2. You will be directed to the User page, where the list of users is displayed. Find the user you need to remove, which you can do using the Search or just browsing the list.

  3. Select the users, using the check boxes on the left of the table or using the links for Select All, or Select None under the Remove Selected link in the left corner of the table. Click the Remove Selected link. In the opened window click the Ok button to confirm the removal.

Edit Users

  1. To edit a user you have to click the first icon in the Actions list:

  2. Editable fields will appear in the next window:
    There is an option to make a user a Facilitator by selecting the Facilitator check box.
    The user's expiration date can be changed as well.

    Click Save button after entering the information. A confirm message will appear:

Making a User a Facilitator

  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen.

  2. On the opened page choose a user from the list, wither by searching or browsing.

  3. Click on the Edit users icon, which is the first icon in the Actions column.

  4. Editable fields will show up as text boxes. Select the check box in the Facilitator column and click the Save button.

  5. In the next screen “Yes” will appear in the Facilitator column and a confirmation message at the top of the screen will appear, verifying that the data was saved.

Impersonate user

The user access pages provide a function for administrators that allows the admin to play the sims on behalf of the other user. When you want to be logged in as somebody else, you "impersonate" them and become logged into Simulate under their name. You can see and do everything that is available to their account.

  1. Begin by going to the sim's overview page and clicking the User Access tab (shown below) at the top of the screen.

  2. In the users list find the user you want to impersonate. Click the middle icon under actions, which will allow you to impersonate the user.

  3. You will be redirected to the Sim start page on behalf of the user you chose from the list.
